Sheet 01, Features Nine screens, every plan

Nine screens, and the practice runs on all of them.

Vetdost was cut down from thirteen sections to nine, because the first version was too complicated to use in front of a client. Everything below is in every plan. Nothing is held back for a higher tier.

Sheet 02, Diary and booking One availability engine

One availability engine, used by both the website and reception.

The slots your website offers and the slots your team can see are the same calculation. Not two systems synchronised on a timer, which is how practices end up double booked.

Booking that opens an account

A client booking online is matched to an existing record or given a new one automatically, with the pet attached. Nobody retypes anything on Monday morning.

  • Real availability, by vet and by service
  • Slots held while the client finishes
  • Confirmation email and calendar invite
  • Account created and portal access sent

A diary you can actually change

Drag an appointment, change a duration, add a note, move a patient to another clinician. Every edit is recorded with a name and a time against it.

  • Day, week and clinician views
  • Double booking prevented, not just discouraged
  • Empty chair report for the coming week
  • Waiting list, offered a slot when one frees

Hours and rota you control

Opening a day is not enough on its own. You open the day and roster someone to it, and that is what creates bookable time. No support ticket required.

  • Opening hours edited in Setup
  • Rota per person, per day
  • Bank holidays and one off closures
  • Different durations per service
Sheet 03, Clinical records Consult, history, invoice

The consult, the history and the invoice on one screen.

The consult workspace

History, weights, vaccinations and previous notes to hand while you write today's. Nothing opens in a second window.

  • Structured notes with free text
  • Weight and vaccination history charted
  • Dispensing recorded as you go
  • Charges built while you work

Everything is editable, and everything is logged

Previous records can be corrected, because practices need to correct things. Clinical records are legal documents, so no edit happens without an audit entry.

  • Edit any past record
  • Who changed what, and when
  • Archive rather than delete
  • Restore anything archived

Patient flow

A board showing who is waiting, who is with a vet, who is in theatre and who is recovering, so the room knows without anyone asking.

  • Drag between stages
  • Inpatients that stay visible overnight
  • Consent status on the card
  • Ready to discharge, with the bill attached
Sheet 04, Money Invoices, plans, statements

Invoicing, statements and the plans you own.

Health plans, without a middleman

Build your own preventative plans, decide what each covers and bill them here. The margin most practices hand to an outside provider stays in the practice.

  • Any number of plans, priced by you
  • Allowances applied at the consult automatically
  • Failed payments pause benefits and notify
  • Plan revenue on the dashboard, live

Invoices and estimates

Money is held as whole pence, never as a floating point number, and VAT is applied per line because professional fees and medicines are not taxed the same way.

  • Estimates that convert to invoices
  • VAT correct per line
  • Part payments and account credit
  • Debtor ageing that reflects same day terms

Statements

A running ledger per client, so a query about a bill from March takes ten seconds rather than a rummage through a filing cabinet.

  • Full transaction history per client
  • Credits and adjustments with a reason
  • Printable and emailable
  • Every adjustment audited
Sheet 05, Reminders and recalls Built from the record

The practice knows who is overdue. Now it does something about it.

Built from the record

The queue is worked out from real due dates and the real diary, not from a list somebody keeps by hand and forgets to update.

  • Vaccinations, worming and senior checks
  • Lapsed patients surfaced, with the value
  • Contacted flag, so the list shrinks
  • Templates you can edit

Every reminder can book

A reminder that only tells somebody they are overdue puts the work back on them. Each one carries a link that opens the diary at a slot that suits the pet.

  • Straight into the booking flow
  • Right service and duration preselected
  • Text and email
  • Replies land against the record

Consent, signed on the screen

Consent forms are signed on a tablet at the desk and stored with the record, so the signature and the procedure never live in two different places.

  • Signed on screen, stored with the patient
  • Consent status visible on the flow board
  • Printable copy for the client
Sheet 06, Stock Shelf and ledger in step

What is on the shelf, and what needs ordering.

It comes off as you dispense

Adding a product line to a consult takes it off the shelf and writes the movement, so the cupboard and the spreadsheet cannot drift apart.

  • Movements written at the point of use
  • Batch numbers and expiry dates
  • Expiry warnings before it matters

Purchase orders that write themselves

Below the reorder level the order is drafted for you to approve, send and then book in. Receiving updates the shelf in the same action.

  • Drafted from reorder levels
  • Sent to the wholesaler
  • Booked in, straight to the shelf

Stock takes

Count the shelf, correct the record, and the variance is logged rather than quietly absorbed, so you can see where things go.

  • Count on a phone in the dispensary
  • Variance logged with a reason
  • History of every correction
Sheet 07, Clients The portal

A portal that lets them help, with you still in control.

Their pets, their history

Clients see their own household and nothing else. That boundary is enforced on the server, not by hiding a link.

  • Appointments, past and future
  • Vaccination status per pet
  • Invoices and statements
  • Plan membership and what it covers

They update, you approve

A client can correct a phone number or a pet's details. It arrives as a request with the old and new value side by side, and nothing changes until a member of staff says yes.

  • Change requests with a clear difference
  • Approve or decline with a note
  • Approved changes written to the audit trail

Registration that arrives complete

New clients register from the website with their pets, so the first visit starts with a record rather than a clipboard.

  • Multiple pets in one registration
  • Previous practice details captured
  • Straight into the diary afterwards
Sheet 08, The website The front of the same system

Not a feature bolted on. The front of the same system.

No other practice management system does this. They leave the website to an agency, which is why your prices are in two places and only one of them is ever right.

Built and run by us

Designed, written, hosted, secured and kept up to date inside your plan. Not a template you fill in yourself at the weekend.

  • Your logo, photographs and words
  • Your own domain
  • Fast, accessible, works on a phone
  • Content changes included

Change a price once

Update a fee in Setup and it changes on the website, in the booking flow and on the invoice at the same moment.

  • Services and fees from the system
  • Opening hours from the system
  • Your team page from your staff list

It works when the internet does not

The screens your team runs on are cached on the device. During an outage the practice keeps working and everything queues, then sends itself when the line returns.

  • Dashboard opens with no connection
  • Changes queued in order
  • Nothing dropped on a server error
  • A bar tells the team exactly where they stand
Sheet 09, Honest list Not shipped yet

Being built, not yet shipped.

Here so you can judge whether we are heading where your practice needs to go. If one of these is the thing you cannot manage without, wait for it rather than taking our word.

Soon Two way texting Replies from clients landing against the right record, so a text conversation is part of the history rather than on somebody's phone.
Later Drafted consultation notes Notes drafted from the conversation for the vet to check and correct. Suggested charges, never posted automatically.

Reading about it only gets you so far.

The demo is a whole practice with a year of realistic history behind it. Book an appointment on the website, then sign in and watch it arrive.
